    Hello everyone,

    I am having an ongoing dilemma about making our invoice, bills, and payment process simpler. I had explored Bill.com but am still not sure that is it. Do any of you use it?

    We have outsourced an Accounting Company that records, reconciles, and helps with audits. However, we still print checks, accept checks, do our CC report (copy + paste), etc. All of this is sent to our accountant to process in QBs. I feel like there should be a more streamline process for all this instead of so many currently taken to issue a check.

    I hope this wasn't too confusing so please let me know your thoughts.

    Hi Denisa,

    We were looking for a new credit card when we stumbled across Ramp.  It's a great credit card and they recently launched a bill pay feature.  We've been using it a little over a month now.  You can email invoices to the system, it "reads" it, attempts to code it (you can double-check for accuracy) and you can set up your approval processes.  Our includes invoice approval by the department lead, myself, and depending on the invoice amount, the CEO and/or Treasurer.  Then you can schedule Ramp to make the payment by paper check or ACH.  Although we're not printing and signing checks anymore, our auditors say the approval processes check the appropriate boxes for them to make sure our financial policies are being followed.  Best of all, the system is free.

    Denisa, it would be worth a conversation with your Accounting Company. If they are already using QuickBooks, there are many features and add-ins your team could take advantage of within QuickBooks itself. Depending on the version used, your team can be added to create invoices and send for payment electronically, allowing for credit card payment and possibly bank transfer (depending on your bank). There are also features for vendor invoice forwarding with OCR and built in workflows for approval processes. All of this within the system your accounting firm is already using. This would streamline your processes and save considerable time for the accounting firm as the entries and documents will be in the system for them to review and reconcile. Here is a link to QuickBooks online. There are multiple versions, the plus and advanced versions may have the tools you are looking for.

    We've been using bill.com for about 2 years. Our process looks like this:

     

    1. Bills are compiled and approved by the manager over that budget area. A cover sheet we're required to use by the State of Indiana is attached up front.
    2. The stack of bills are uploaded into docusign for my review and signature on each cover sheet. That is the first required approval of the bills.
    3. The bills are then added to our Bill.com account and sent to our board's treasurer for review and approval. That's the second of our required approvals.
    4. Vendors can, if they wish, add a bill.com account which means payment is ACH deposited into their account. Otherwise a check is mailed.
    5. Data is downloaded into/integrates with Quickbooks Online

     

    The security of not having mailed checks is a big factor for us and it speeds up the payment if they accept the ACH. We had to plan ahead but the system really accommodated our internal control and separation of duties policies.

    Thank you, Jim. This was really helpful as I have already explored Bill.com but was not certain it was the right fit. I would like to know if you can add an electronic signature on checks in Bill.com.
